Best construction project management software for small UK firms

The short answer for a small UK building firm, as of October 2026:

  • EstiMate: best all-round for 2 to 10 person builders who want the programme, site records, variations, stage payments, retention and CIS in the same app as the quote. From free; £15.99 or £39.99 a month per business, on one office login.
  • Fieldwire: best free site tool for plans, tasks and punch lists. Free for up to 5 users and 3 projects.
  • Buildertrend: best for larger residential builders who want a client portal and are happy with a custom quote.
  • Procore: best for mid-size and larger contractors with a commercial team.
  • Houzz Pro: best for design-led renovators, but its project tools sit in the Custom package.
  • Bluebeam: best for drawing markup and punch lists, not a project system on its own.
  • Simpro: best for trade contractors running service work and projects together.

Much of the software on this list was built for a big main contractor, a US home builder or a field-service team. A small UK builder sits somewhere in between, and needs the job and the money to stay together.

What project management means for a small builder

Forget Gantt charts for a minute. On a typical extension or refurb, project management is four stages:

  1. Before you start: the signed contract, the programme, payment milestones, RAMS and permits.
  2. On site: the diary, photos, drawings, RFIs, and variations priced and approved before the work's done.
  3. The money: stage invoices, CIS deductions, retention, and knowing whether the job's making what you priced.
  4. Handover: snagging, the handover pack, completion sign-off, and getting the retention back.

Most of the tools below cover stage 2. Far fewer cover stages 1, 3 and 4 for UK work: of the seven in the table, we found CIS in EstiMate only.

Prices checked October 2026, as listed on EstiMate pricing, Fieldwire on Capterra, Buildertrend pricing, Procore pricing, Houzz Pro UK pricing, Bluebeam UK pricing and Simpro. Fieldwire's paid prices are in US dollars; we didn't check a UK pricing page. Bluebeam's UK prices include tax, we couldn't find a VAT basis for Houzz Pro or Fieldwire, and EstiMate's prices are what you pay.

1. EstiMate

EstiMate runs the job from the accepted quote. Here's how it covers the four stages:

  • Before you start: a contract generated from the accepted quote and signed online, a programme and payment milestones, plus RAMS, COSHH, permits and the site document pack on the £15.99 plan.
  • On site: a site diary with weather and workforce, RFIs, non-conformance reports, quality inspections and photos, plus drawing mark-up on Pro. Variations are priced from site and approved by the client with one tap, and the contract total, invoices and reports update with an audit trail. On Pro, workers can log time, expenses, photos and diary entries through the Site Crew app from a QR code or link, without a full account.
  • The money: invoices with a pay-online link through Stripe, CIS deductions and the CIS register, and on Pro retention, valuations, subcontracts, purchase orders and cost control.
  • Handover: snagging with numbered pins on drawings (clients can report snags too), a handover pack and completion sign-off, all on Pro.

Pro also produces weekly progress reports with photo timelines, and Construction Copilot gives you a morning brief of what to chase today. See construction project management software and the site diary app.

The honest limits: EstiMate isn't a dispatch or route-planning tool for big reactive maintenance teams, there's no native Android app (it works in the browser on Android), and Free, EstiMate and Pro are one business login (plus the Site Crew app on Pro): separate team seats with roles for office staff are on Corp, from £249 a month.

2. Fieldwire

Fieldwire, from Hilti, is field and site management: plan viewing, tasks, punch lists and markups, aimed at project managers, site supervisors and field engineers (Fieldwire profile). The Basic plan is free for up to 5 users, 3 projects and 100 sheets. Paid plans are per user per month in US dollars: Pro is $39 billed annually ($54 monthly), and Business is $59 annually (some sources say $64) or $74 monthly. Users are charged only for the time they had access to a project, and there are no long-term contracts (Fieldwire billing).

We found no quoting, invoicing, CIS, VAT or accounts in Fieldwire, which isn't surprising for a field tool. Illustrative: a six-person team on Pro, billed annually, is 6 × $39 = $234 a month, in US dollars (we couldn't find a VAT basis).

Best for: site teams who want a free plan-and-punch tool, paired with something else for the money.

3. Buildertrend

A US all-in-one system for custom home builders and remodellers: daily logs with photos, video and automatic weather, change orders with e-signature, and selections approved by clients in a portal. Every plan includes unlimited users. Pricing is a custom quote, billed annually or quarterly. We found no CIS or reverse-charge feature, and its accounting runs through QuickBooks. We compare it in detail in Buildertrend vs EstiMate.

Best for: larger residential builders with an office team.

4. Procore

The heavyweight. A UK Site Diary, variations logged from site and linked to budgets, punch items placed on drawings in the mobile app, and since August 2026, 360 photos pinned on drawings. Main contracts are signed through DocuSign, and the sender needs a paid DocuSign account. Pricing is an upfront annual fee per product, based on annual construction volume, with unlimited users. More in our Procore alternative for small UK builders.

Best for: mid-size and larger contractors with people whose job is to run it.

5. Houzz Pro

In the UK, project scheduling, change orders, budgets and daily logs are in the Custom package (price on request), not the £139 Pro plan, and the free-trial page says minimum contract lengths are 12 months (Houzz Pro UK free trial). Its strengths are the 3D floor planner and the Houzz audience.

Best for: renovators and designers who sell on visuals.

6. Bluebeam

Not a project system on its own, but good at one part of it. Punch items are markups at their location on the PDF, with status tracking and PDF or CSV summaries (Bluebeam punch), and Studio sessions let you work on drawings with the design team. It's £264 to £588 a user a year, and it isn't sold as a quoting or invoicing tool.

Best for: firms that live in drawings, alongside something else for the job and the money.

7. Simpro

Field service and project management for trade contractors, aimed at mid-size to large commercial and service firms. It does progress claims, retentions and variations (Simpro project invoicing), has a UK reverse-charge invoice report, and Simpro Takeoffs reads PDF drawings. Pricing is a custom quote, and Simpro says one-time setup and onboarding fees apply. We found no CIS feature or site diary. Reviewers on G2 mention a steep learning curve and complex setup.

Best for: electrical, plumbing, HVAC and security contractors running service work and projects in one system.

Others you'll see

  • Build4Cast: scheduling, Gantt charts and daily logs for UK builders and subcontractors, according to its Capterra listing.
  • Buildern: its own UK guide says it covers take-offs, estimates and VAT and CIS settings. We haven't checked further.

How to choose

Take the four stages above and score each tool against your last real job. If a tool covers stage 2 brilliantly but you'd still be running the contract in Word, the variations on WhatsApp and the CIS in a spreadsheet, it's a site app, not project management. For a small UK builder, the test is simple: can one person open one app and see the programme, the diary, the variations, what's been invoiced and what's owed?

What to do next

  1. Pick your last finished job and list every document it needed, from contract to retention release.
  2. Try two tools against that list: Fieldwire's free plan for the site side, and EstiMate's free plan for the job and the money.
  3. If you need Pro features like retention, valuations and snagging on drawings, upgrade for the free trial and run a live job through it.
