Is Tradify good for builders? What it does well and where it stops

Yes, Tradify is good at what it was built for. The Access Group describes it as "an end-to-end job management platform, built for trades and field-service businesses" (Access Group), and it does that job well: quotes, scheduling, timesheets, invoices and forms in one place, with strong reviews. A sole-trader electrician or a three-van plumbing firm can run the week on it.

Whether it's good for a builder depends on the building. If your work is short and reactive (repairs, small works, a day here and a day there), it'll do. If you run projects that last weeks, with drawings, a contract, stage payments, variations and CIS, you'll find the edges quickly. Below is what it does well, then where it stops, seen from the desk of someone pricing and running a single-storey extension.

What Tradify does well

  • Reviews and track record. 4.7 out of 5 from 152 reviews on Capterra, 4.8 from about 612 on Trustpilot, and 4.8 from about 2,700 ratings on the UK App Store. Founded in 2013, with about 20,000 customers across the UK, New Zealand and Australia (Access Group, above).
  • Scheduling. A scheduler with horizontal, vertical and month views (scheduler help).
  • Timesheets. A live timer, a job dashboard and a timesheets tab (timesheets help).
  • Quotes with options. On Pro and Plus, the customer opens your link, ticks optional sections, sees the subtotal update and accepts (quote options help).
  • Forms and certificates. Completed forms become PDFs and approved forms are locked (forms).
  • Accounting sync. Xero, QuickBooks and Sage (how it works).
  • AI that tidies your words. SmartWrite writes quote and invoice descriptions from your line items, and SmartRead pulls job details from documents and captures bills (SmartTools).

That's a solid kit for service work. None of it is a reason to leave.

Where it stops for a builder

Prices checked October 2026 on Tradify's UK pricing page and EstiMate's pricing page. We couldn't confirm whether Tradify's prices include VAT; EstiMate's pricing page says the price shown is what you pay. EstiMate's Yes and Built in features are on the £15.99 plan and above; (Pro) means the £39.99 plan. "Not found" means we searched Tradify's website and help centre in October 2026 and couldn't find it; check with Tradify if it matters to you.

Pricing from the drawings

The architect sends a set of PDF drawings. We couldn't find a tool in Tradify for measuring quantities from them. Its South African estimating page mentions "digital takeoffs" without describing how (Tradify ZA). Unless you find one, that means a scale rule and a spreadsheet, then typing the lines in. EstiMate Pro's AI take-off reads the PDFs and shows which sheet each quantity came from, and the AI quote writer turns those quantities into a priced draft using your day rates. Check it, don't trust it blindly. See take-off in EstiMate, and our guide to pricing a single-storey extension for the numbers that go round it.

Getting it signed

Tradify's help centre says the customer can sign a quote on your phone in the mobile app; accepting online has no signature step (Tradify help). For a £60,000 extension you want more than a signed quote. You want payment terms, what happens on delays, who's responsible for what, insurance, the guarantee and how disputes get settled. EstiMate builds that contract from the accepted quote and the client signs it online.

Paperwork before you start on site

Tradify has digital forms. Its UK COSHH risk assessment page has described the digital version as "not quite ready" (Tradify COSHH page), so check the live page, and we couldn't find a RAMS builder. EstiMate's £15.99 plan includes RAMS, COSHH, permits and a site document pack. See the RAMS generator.

The client changes their mind

Halfway through, the client wants bi-fold doors instead of French doors. Searching Tradify's site and help centre, we couldn't find anything for pricing and approving a variation. In EstiMate you price the change from site, the client approves it from a link, and the contract total and invoices update with an audit trail.

CIS and VAT

Tradify's help centre says it "does not have any native Reverse VAT / CIS tax options", and that CIS invoices need Xero or Sage Business Cloud (Tradify help). If you're a sub on a main contractor's job, or paying subbies yourself, you need the accounting app as well. EstiMate does the deduction, the reverse-charge wording and the CIS register itself. It prepares the figures; filing to HMRC stays with you or your accountant.

What reviewers say

The recurring complaints in reviews are worth knowing. Reviewers on Software Advice and G2 say reporting is shallow and hard to customise (Software Advice). A common complaint on Capterra is that the mobile app is slow, with no offline access, so performance on large jobs depends on your signal, and that per-user pricing gets expensive for firms of 10 or more (Capterra).

Who should stay on Tradify

Stay if most of your jobs last a day or two, you need a proper scheduler for a few vans, your tax already runs through Xero or Sage, and you rarely sign contracts or price variations. Electricians, plumbers, handymen and maintenance firms fit that.

Who's outgrown it

You've outgrown it if you're pricing from drawings, writing contracts in Word, tracking variations on paper, and paying for an accounting app mainly so you can issue CIS invoices. That's the point where a job app has become one of several apps doing one job. Our piece on why builders outgrow field-service tools goes into the difference.

What to do next

Take your last finished extension or refit and ask where the paperwork lived: quote, contract, variations, invoices, CIS. If the answer is four places, price the next one in EstiMate and compare. It started as the spreadsheet a design-and-build firm in Cheshire quoted from, and was built for exactly that job.
