Invoice app vs quoting software for builders: where the money leaks
The invoice is where you find out whether a job made money. It's rarely where you lose it.
On a building job the money goes earlier. A quantity missed on the take-off. A client who thought the tiling was included. An extra agreed on site and never written down. A stage payment worked out from memory. By the time you open your invoice app, those losses are already baked in, and no amount of nice branding on the PDF gets them back.
Invoice apps are good at the last step. If your work is one visit and one invoice, that's all you need. If you run projects, you need something that handles the steps before it. Here they are, in the order the money leaks.
1. The price
A lot of underpriced jobs go wrong at the take-off. Miss a wall on the elevations, forget the waste, use last year's timber price, and the job's margin is gone before the client says yes.
None of the invoicing and accounting apps we researched (Invoice Simple, Invoice2go, Zoho Invoice, QuickBooks, Xero and FreeAgent) showed take-off from drawings. They start from a price you've already worked out somewhere else.
EstiMate Pro's AI take-off reads architect PDFs and shows which sheet each quantity came from, so you can check it rather than trust it. Quote memory records every material price, labour package and margin you use, and autocomplete suggests your last price for any item. AI take-off isn't unique to EstiMate; dedicated take-off tools do it too. The difference is that here it feeds straight into the quote, the contract and the invoices. See construction take-off software.
2. What the client actually agreed to
A quote the client "accepts" by text message is a quote with arguments waiting in it. What was in? What was optional? Which version did they see?
Invoice apps vary. Invoice Simple lets a client sign an estimate on its Premium plan, but its help centre says that signature "is intended for presentation purposes only and should not be considered a legally binding contract" (Invoice Simple help). In FreeAgent, the business marks an estimate as approved itself once the client agrees (FreeAgent help). Xero's customers accept or decline a quote with one click (Xero quotes).
EstiMate's quote link lets the client accept, decline, tick the optional extras they want or ask for amendments, so there's a record of exactly what they chose. Quotes you don't win go in their own tab and stay out of your revenue figures, so your reports aren't flattered by work you never got.
3. The contract
A signed quote isn't a building contract. A contract says what happens when the client changes their mind, when the weather stops you, who insures what, and how disputes get settled.
Credit to QuickBooks here: on its Simple Start plan you can upload a contract you already have and get your customer to e-sign it (QuickBooks Simple Start). That's useful if you have a contract. EstiMate generates one from the accepted quote, with payment terms, delays, responsibilities, insurance, guarantee and dispute wording, and the client signs online.
4. The extras
This is the big one. Here's an illustrative bathroom refit. Halfway through, the client asks you to move the toilet and add a heated towel rail. You agree a price of £450 on site. At the final invoice they remember it as included. You either eat the £450 or have an awkward conversation with nothing on paper.
We couldn't find a variations feature in any of the six invoicing and accounting apps above (October 2026). EstiMate lets you price the extra while you're stood in the bathroom and send the client a one-tap approval link. Once they approve, the contract total, the invoices and the reports all move with it, with an audit trail. Each variation becomes a signed addendum to the contract. Our guide to pricing variations and getting paid covers how to word and price them.
5. The stage payments
On a four-week job you don't want to be the bank. You want a deposit, stages tied to progress, and a final payment that's small enough not to be held hostage.
Some invoice apps help here. Invoice2go lets you put a deposit request on an estimate, and once it's paid the estimate turns into an invoice (Invoice2go help). But without a signed contract in the same app, each stage invoice is a sum you work out yourself.
EstiMate sets payment milestones on the job, invoices them with a pay-online link and chases overdue ones automatically if you turn it on. On Pro, deposits can be taken online the moment the client accepts, and retention and valuations are built in. Our stage payments and deposits guide explains how to set the stages.
6. The tax on the invoice
CIS and the domestic reverse charge are where general invoice apps are most patchy. Invoice2go has a reverse-charge toggle; Zoho Invoice does CIS deductions; we couldn't find either in Invoice Simple. The accounting packages handle both and file VAT returns to HMRC (QuickBooks files CIS returns too, and Xero does with its CIS add-on), which EstiMate doesn't do. EstiMate handles CIS deductions, keeps the register and prints the reverse-charge wording, then prepares the VAT figures for you or your accountant. Our invoicing app roundup compares nine apps on exactly this.
7. Knowing whether the job made money
The last leak is not finding out. An invoice app can tell you what you billed. Whether the labour came in over what you priced is a different question, and it needs your price broken down next to the real costs. Accounting packages can track costs by project (QuickBooks does on its Plus plan), but a project total isn't the same as checking each labour package against your quote.
That's what an estimate-versus-actual view is for: what you priced, line by line, against what it really cost. EstiMate gives you a P&L for any period, and cost control and purchase orders on Pro. Our job costing guide walks through it.

Prices checked October 2026: Invoice Simple from US$6.99 a month (pricing) and Invoice2go "starting at $5.99 per month" (pricing), both in US dollars with no VAT basis stated. EstiMate is £15.99 a month per business, which is what you pay, for the quote link, contract, variations and invoicing, with take-off on Pro at £39.99. "Not found" means we searched each vendor's site and help centre and found nothing, and "not confirmed" means we couldn't confirm it either way; neither is proof it's missing. Invoice2go does e-signatures through SignRequest or Esignly (integrations).
Where an invoice app is still the right tool
If your work is one visit, one price and one invoice, a lock change, a gutter clear, a day's labour for a contractor, then an invoice app is the right size and cheaper than anything else. There's no shame in a simple tool for simple work. The case for more starts when the job lasts long enough for the client to change their mind.
What to do next
- Take your last three finished jobs. For each, write down the quoted price, the extras agreed, what you invoiced and what you were paid.
- If those numbers match, your invoice app is doing its job.
- If they don't, the gap is in one of the seven places above. Price your next job in EstiMate and run it through to the final invoice.
