HBXL EstimatorXpress alternative: EstiMate vs EstimatorXpress

EstimatorXpress, from HBXL Building Software, is UK estimating software for builders. If what you want is a dedicated estimating package, and you'd rather pay up front than monthly, it's worth a look.

If you want the estimate to become a quote the client accepts online, then a contract, variations, invoices and your CIS and VAT figures, without retyping anything, EstiMate does that in one app from £15.99 a month per business, with a free plan to start on.

A word before we start. Our research on EstimatorXpress is thinner than on the big platforms, and it didn't cover most of its features. Where sources disagree we've said so and linked them, and where we didn't check something we've said that too. Check the details with HBXL before you buy.

What EstimatorXpress costs (sources disagree)

We found two different pricing models listed, and we're not going to pick one for them:

  • A one-off licence at £995 flat rate, according to its Capterra listing.
  • An annual subscription "from £899 + VAT", according to third-party reviews on SaaSRat and ITQlick.

We also found conflicting information on whether there's a free trial: one source says 14 days, ITQlick says there isn't one. Ask HBXL which is current.

Licence, subscription or monthly: the sums

Illustrative first-year costs, using the figures above and EstiMate's published prices. EstiMate's prices are what you pay, and a VAT receipt is issued for every payment.

EstiMate£15.99 a month£191.88

Prices checked October 2026 on the sources linked above and EstiMate pricing. We've left the subscription at its listed £899 + VAT rather than adding the VAT on, because a VAT-registered builder reclaims it. We couldn't tell whether the £995 licence price includes VAT. The EstiMate figures are 12 months at the monthly price.

The one-off licence is the interesting comparison. At £39.99 a month, EstiMate Pro takes about 25 months to reach £995 (£995 ÷ £39.99 = 24.9). At £15.99 a month it's over five years (£995 ÷ £15.99 = 62.2 months). We haven't checked what the licence includes after you buy it, such as updates and support, so ask HBXL. That changes the sum.

And with EstiMate you can stop in any month. With a licence, the money's spent on day one.

What we could and couldn't check

EstimatorXpress is sold as estimating software, and it's marketed as linking to UK builders' merchants' prices. For a UK builder that's a useful idea, and HBXL are the people to show you how it works in practice. On Capterra it scores 4.4, but from only 5 reviews, so there's not much to go on either way.

We searched for AI take-off and didn't find it. Beyond that, we didn't research EstimatorXpress's other features, so the table says "Ask HBXL" rather than guessing.

Why the estimate isn't the finish line

Here's the builder's argument. The estimate is where you work out the price. The money gets made or lost after that: when the client wants the bifolds moved, when the steel goes up by £300 between quote and order, when the subbie's invoice needs CIS taking off, when the retention comes due.

If your estimating tool stops at the estimate, the next steps happen in Word, email, a spreadsheet and your accounts package, and every handoff is a chance to lose an extra. It also makes it hard to compare the estimate with what the job actually cost. We've written about why that matters in job costing: estimate vs actual.

In EstiMate the estimate is the start of the job record:

  1. Price it with material and labour breakdowns. On Pro, quote memory records every material price, labour package and margin, and autocomplete suggests your last price for any item.
  2. Send a branded quote link. The client accepts, declines, picks optional extras or asks for amendments.
  3. The accepted quote becomes the contract, signed online, with a programme and payment milestones.
  4. Variations are priced from site and approved by the client with one tap, and the contract total and invoices update.
  5. Invoice, take card payments through Stripe, and see the P&L, VAT figures and CIS register in the Accounts tab.

On Pro, the AI quote writer drafts the scope, materials, labour packages and programme from a plain-English description, drawings, a walk-round voice note or photos, using your own day rates and quote history. You review and edit every line. It never sends anything on its own.

Who EstimatorXpress suits

A UK builder or estimator who wants a dedicated estimating package, likes the idea of merchant-linked pricing, and would rather pay for software up front than monthly, if the one-off licence is still on offer. If your office already runs contracts, invoices and accounts elsewhere and you're happy with that setup, a standalone estimator might be all you need.

Who EstiMate suits better

Builders and contractors who quote, contract, run and account for jobs and want one place for all of it, from a single-storey extension to an office fit-out. If you price extensions, our guide to pricing a single-storey extension in 2026 shows the build-up line by line. For the estimating side specifically, see construction estimating software for the UK. How to switch

  1. Ask HBXL three questions: is it a licence or a subscription now, what does year two cost, and what does the package cover beyond estimating?
  2. Take one job you've already priced in EstimatorXpress and price it again on EstiMate's free plan. Compare the time it takes and what the client receives.
  3. If you move, bring your price history with you. Pro can import old quotes and paper quote books with AI, and quote memory learns your prices from there.

With that job in front of you, start free and price it.
